Colour Coded Calendars & Approvals Using SharePoint Designer

We have recently completed a project to provide a colour coded calendar with full approval and notification service on a managed instance of Microsoft Office SharePoint Server 2007. 

Due to the nature of the managed service, it was not possible to deploy custom code to undertake the task and hence it has been implemented using Microsoft SharePoint Designer 2007.

We are in the process of documenting this to share with visitors to the site and producing a detailed case study of the requirements and how they were met.  We also plan to release a full transcript of how to implement the various workflows we developed for a nominal fee of £5 or so.  Let us know your views on this …

Manage resources effectively with colour coded calendars

2and7 have recently implemented a colour coded SharePoint calendar for the Imaging Unit with Leeds Teaching Hospitals NHS Trust to help them better manage access to their MRI machine.

The calendar uses a customised data entry screen to request additional, non standard information from the doctor or nurse wishing to book a slot on the device.  It then uses a standard approval process for contacting the technicians when a completed form has been submitted and they can either approve or reject the request or ask for more detailed information.

If approved, the calendar entry becomes green, amber for pending and red for rejected – an email is also sent to the user creating the request.  This then provides a quick visual check for anyone wanting to book a slot in a hurry.

2and7 now implementing SharePoint 2010

2and7 have recently been working with a large NHS Trust to deliver clinical data collection systems based around Microsoft SharePoint Foundation 2010 and Microsoft InfoPath 2007.  This part of a re-worked clinic procedure which will eventually see doctors, nurses and patients entering data electronically from within clinic.

The system is due to extend to storing imaging data with the ability to anonymise clinical DICOM images for research use.

Changes To Duplicate Appointment Video

Thanks to everyone who has commented so far on the video and textual descriptions of how to use Microsoft SharePoint Designer 2007 to configure SharePoint workflow to handle duplicate appointments.

As some of you have commented, the video we posted recently onto the 2and7 web site only shows the first element of the solution. We hope to have a fully worked solution available in addition to this video by the end of the week.
