Colour Coded Calendars & Approvals Using SharePoint Designer

We have recently completed a project to provide a colour coded calendar with full approval and notification service on a managed instance of Microsoft Office SharePoint Server 2007. 

Due to the nature of the managed service, it was not possible to deploy custom code to undertake the task and hence it has been implemented using Microsoft SharePoint Designer 2007.

We are in the process of documenting this to share with visitors to the site and producing a detailed case study of the requirements and how they were met.  We also plan to release a full transcript of how to implement the various workflows we developed for a nominal fee of £5 or so.  Let us know your views on this …

Duplicate Appointment Workflow Video

We’re received a great deal of positive feedback regarding our workflow for identifying duplicate workflows, but quite a few message from novice SharePoint users who are unsure how to begin to define the workflow.

We’ve therefore created a quick flash video in Adobe Captivate to show you how it’s done.  Please ignore the typing mistakes and unnecessary clicks, but we’re responding to customer requests and will refine the video in the coming days.

Enable Appointment Approvals

Before you can use our revised workflow for managing duplicate and overlapping appointments, you first need to enable version control on the calendar in question.  This will then allow us to automatically approve appointments, but change the status of troublesome appointments to pending.

This makes the appointment to remain visible to only the administrators and the appointment creator, allowing the creator to amend the appointment to find a vacant slot.

Delete an appointment from a sequence

We recently had a support call from a customer who had set up a recurring appointment within their Microsoft Office SharePoint Server 2007 calendar to book a particular resource.  On one occasion, however, this appointment clashed with a public holiday and hence the customer wanted to remove one appointment without having to stop and then restart the sequence after the holiday.

 

There are two ways in which this can be done.  The first, using the features built into SharePoint to select an appointment and then delete the item.

This removes the individual appointment without affecting the sequence.

We reminded the customer that Microsoft Office Outlook 2007 allows the customer to select an appointment and to amend either that particular appointment or the entire sequence, should the appointment be part of a series.  The customer followed the instructions on our web site to connect SharePoint to their Outlook calendar and was successfully able to edit the sequence to remove one particular appointment.

Once inside Microsoft Office Outlook, double click the item you want to remove and choose “Edit Occurence” to leave the remaining appointments intact.  Then delete the item using the black cross.

Mange your SharePoint calendars via Microsoft Outlook 2007

The high level of integration between Microsoft Office 2007 and Microsoft SharePoint means that it’s often possible to access features from within the SharePoint environment without needing to directly access the system.  This makes it possible to publish Microsoft Access files directly into SharePoint lists as well as saving Word and Excel documents directly into a document library.

Microsoft Outlook 2007 also delivers a number of features to assist users in managing offline files as well as organising their diaries across multiple team sites or collaboration environments.

In this post, we look at how to integrate your shared calendars in Microsoft Office SharePoint Server 2007 with Microsoft Office Outlook 2007 so that you can view some or all of them in real time.

First thing is to navigate to the Shared Calendar that you’re wanting to manage within Microsoft Outlook 2007.  Site configurations differ, but if the person creating the site used default options then you’ll likely see a link saying Calendar on the quick launch bar, on the left underneath the header Lists.

Click on the calendar link and the screen should update to show your calendar in the default view.

Just above the calendar, and below any crumb trail, you should see a menu bar and a drop down menu that says Actions.

Click on Actions and choose Connect To Outlook.

Microsoft Outlook should then appear with a dialogue box asking whether you trust this information source and want to link it to your Outlook account.  Click on Yes.

You’ll now notice that in addition to your personal calendar in My Calendar, a new header will have appeared in the calendar folder list that says Other Calendars.  This is where Outlook stores all other linked calendars.

To view a calendar, tick the box next to the name; to hide a calendar, untick the box.  Simple as that.
